LEGAL FRAMEWORK & AGREEMENTS

Terms &
Conditions

All trips operated by Arena Africa Safaris provide clients with a detailed itinerary describing the destinations and scheduled experiences, ensuring complete transparency for what to expect.

Making a booking with Arena Africa Safaris is taken as explicit acceptance by the customer of the statutory Terms and Conditions outlined below.

By requesting us to confirm your booking, you are regarded as having read, understood, and agreed to these terms before a binding contract comes into legal existence.

Core Operations

Trip Operations & Local Variables

Please note that operational conditions in Tanzania and East Africa differ fundamentally from developed countries. We remain exposed to unannounced changes in government-regulated taxes and park structures.

1. Operational Parameters & Alterations

Safari services agreed upon will be fully provided, except during unforeseen force majeure events (e.g., road closures, severe weather, security considerations). The itinerary can be changed at company discretion; clients will be kept informed and equivalent alternatives provided. Arena Africa Safaris holds the statutory right to pass any unannounced government-regulated park fees or tax increases directly onto customers.

2. Booking Procedures & Contractual Nature

Arena Africa Safaris specializes exclusively in customized, tailor-made holiday architectures to fulfill personal needs, rather than pre-packaged holiday deals. A legally binding contract establishes itself only upon receipt of your initial deposit or complete payment.

3. Financial Framework & Payment Terms

Confirmed bookings generate a descriptive commercial invoice. Required milestones include:

  • 45% Deposit: Required immediately to confirm reservation spaces.
  • 100% Upfront: Required instantly for any flight segments.
  • 65 Days Prior: Balance payment deadline.

*Bookings made within 65 days of departure demand instant, complete prepayment at the moment of reservation. All payments must be cleared via bank wire/transfer.

4. Cancellation & Amendment Levies

Cancellations incurred either in full or partial increments attract standard deduction thresholds:

65+ Days Prior
Non-Refundable Deposit
50–65 Days Prior
50% Itinerary Cost Deducted
0–50 Days Prior
100% Itinerary Cost Deducted

After your booking has been confirmed, should you wish to make any changes to your itinerary or wish an earlier departure date, we will make every effort to accommodate your requests based on availability. However, the extra costs involved to make changes are €150.

5. Website Pricing & Quotations

All prices published on arenaafricasafaris.com are per person, based on two persons (unless otherwise stated), and quoted in US dollars (US$). Costs of obtaining passports or visas, border taxes (if applicable), tips for guides, drivers, and hotel staff, insurance, additional excursions, or personal expenses are not included in the itinerary cost. Discount rates for children or peak rates during high/festive seasons are not included.

All prices on the website should be used as a guideline only. Arena Africa Safaris cannot be held responsible for any changes or pricing errors. Arena Africa Safaris will specify all costs in their invoices. The quotations are valid for two weeks.

6. Travel Documents

You receive all travel documents (vouchers, e-tickets, luggage labels, and flyers) two weeks before departure. Please check your confirmation invoice and travel documents immediately upon receipt. Contact us if there are errors. We are not liable if notified after 14 days of issuance.

7. Insurances

It is a condition of booking that the sole responsibility lies with the guest to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependents or traveling companions, for the duration of their trip to Tanzania/Africa. This insurance should include medical expenses and repatriation expenses.

Optional insurances are cancellation or curtailment of the safari, emergency evacuation expenses (flying doctors), and damage/theft/loss of personal baggage, money, and goods. Arena Africa Safaris may cancel your booking if such insurance is not obtained.

8. Passports, Visas & Name Checks

It is upon the guest to ensure that passports and visas are valid for the countries visited. Most nationalities can get a tourist visa on arrival in Tanzania at the border/airport ($50 per person, US citizens $100 per person). This visa is valid for a period of three months. You can also get your visa in advance at the embassy in your home country. Check the visa rules before you go. Passports should have at least six months of validity after the final day of travel. Arena Africa Safaris cannot be held liable for any visas not held by the guests, nor the cost of visas.

Please check the names on the invoice carefully when you receive our invoice. In case we need to change a name three or more days after you receive our invoice, we are obligated to charge a fee of €125.

9. Medical Conditions and Disabilities

Please inform us of any medical condition or disability that may affect your holiday before confirming your booking so we can assess suitability. We reserve the right to decline bookings or cancel them if we cannot accommodate specific needs.

10. Amendments & Cancellation by Arena Africa Safaris

We reserve the right to cancel your holiday before full payment has been received. In such cases, we'll refund all monies or offer an alternative. We are not liable for cancellations caused by force majeure (war, natural disasters, pandemics, etc.).

If a major change occurs (e.g., flight delay over 12 hours), we'll offer alternatives or a refund. No compensation is payable for changes due to force majeure.

11. Our Responsibilities & Carriers

Arena Africa Safaris ensures your holiday is provided as described and meets reasonable local standards. We are not responsible for external services or optional excursions not booked directly with us.

Travel by air and sea is subject to international carrier terms. Arena Africa Safaris accepts no liability for cancellations, strikes, delays, or lost luggage caused by carriers.

12. Governing Law & Waiver of Claim

This contract and any disputes shall be governed by Tanzanian law, with exclusive jurisdiction in the courts of Dar es Salaam. If referred by another party (e.g., travel agent), you waive claims against that party. All issues must be addressed to Arena Africa Safaris directly.

13. Real-Time Problem Resolutions

If you encounter problems during your trip, inform your guide, hotel manager, or safari provider immediately. If unresolved, write to Arena Africa Safaris within 28 days of your return. Failure to do so limits our liability.
